Asset Management

Asset Management (AM) provides an integrated approach to facility maintenance and renewal with an emphasis on primary accountability, ownership, and customer service. Our responsibility is to oversee over 200,000+ pieces of equipment and coordinate all facilities activities across all campus properties. Our goal is to create and maintain top performing facilities for the University by improving efficiency, quality of service delivery, and cost effectiveness.

What We Do

Asset Management Planning

  • Coordinate with Capital Projects on the development and execution of construction projects (new and renovations).
  • Collaborate with campus departments to develop long range planning for ongoing renewal.
  • Coordinate maintenance activities with FS Trades by identifying critical needs and communicating client priorities.
  • Work with Preventative Maintenance to coordinate and prioritize PM work.
  • Assist FS Utilities shops with planning and issue resolution.

Administrative Operations

  • Support FS operations by providing
    • Historical data and building cost analysis
    • Insurance claim oversight
    • Data collection and standardization
  • Communicate and report building data to inform campus stakeholders of operational and functional issues.
  • Assist with custodial coordination between FS and occupants for escalation, QA/QC, and prioritization.
  • Assist Landscape Services with planning and issue resolution.
  • Assist customers with Work Order/Maximo System access and training, WO escalation, and multi trade coordination

Data and Reporting

  • Maintain building and utility information for campus.
  • Maintain Campus Renewal data to inform program creation and execution.
  • Maintain and tracking building warranty information

AM Campus Regions

The campus is divided into six regions based on geography:

Each region has an asset manager who supports maintenance, custodial, capital project, and renewal work for the region’s buildings, landscapes, and utilities

The Regional Asset Manager is responsible for:

  • Maximo asset creation and tracking
  • Facility data management including life cycle costing
  • Operational expense tracking
  • Preventative Maintenance and Custodial MOU creation and negotiations
  • Work order tracking and disposition including supporting client escalation
  • Project Management for multi-trades work orders and single trade projects
  • Building Permit coordination for Facilities Services
  • Warranty tracking and insurance claims
  • Renewal planning and forecasting allocations
  • Integration of capital improvements, facilities services, and building operations
